What Are Offline Donations?

An Offline Donation refers to any contribution or purchase made outside of the Goodworld platform—typically by cash or check—that you still want to track within your donation records. These transactions live in the Donations tab and can be categorized just like online donations, ensuring your reporting is accurate and comprehensive.

Offline donations are especially common during in-person fundraisers, community events, or when working with supporters who prefer traditional giving methods. This includes cash, checks, or any other payment method not processed online, such as:

  • Checks mailed by donors

  • Cash collected at a gala, luncheon, or community drive

  • Manual purchases at an event (e.g., raffle tickets, merchandise)

  • Contributions from donors who prefer not to donate online

Tracking these contributions in Goodworld helps your organization maintain accurate donor records, understand giving trends, and report on campaign performance—even for donations received offline.

How to Track Offline Donations in Goodworld

Follow these steps to log and manage offline donations in your dashboard:

  1. Navigate to the Donations Tab

    From your Goodworld admin dashboard, go to the Donations tab. Click on the Create New button on the top right hand corner of the page.

  2. Select the Transaction Type

    At the top of the page, choose the type of offline transaction:

    • Donation

    • Ticket Purchase

    • GiveCards Purchase

  3. Assign the Campaign or Event

    Select the Campaign or Event you want to associate with the donation.

    • If you select an Event, you’ll be asked to specify the purchase type (e.g., ticket, raffle ticket, merchandise).

    • You can also specify the Source of the donation—such as the donation Page or Form used during outreach or event promotion.

  4. Choose or Create a Contact

    Select the donor from your existing contact list, or create a new Contact if they are not already in your system.

  5. Select a Payment Method

    • Choose “Already Paid” if the donor has provided cash or a check.

    • Choose “Charge Now” to email the donor an invoice for follow-up payment.

  6. Save the Transaction

    The offline donation will now be visible in the Donations tab, alongside online transactions.

Filtering and Viewing Offline Donations

To view only offline transactions:

  • Navigate to the Donations tab.

  • Use the Method filter at the top of the dashboard.

  • Select “Cash” and/or “Check” to view offline transactions only.

You can click into any donation to see further details, including campaign attribution, source, and donor information.

In-Person Event Use Case

Offline donation tracking is particularly helpful when receiving checks or cash at events like galas, silent auctions, or local fundraisers. For example, an elderly donor attending your annual holiday luncheon might hand you a $100 check at the registration table. Another guest might purchase raffle tickets with cash during the event. With Goodworld’s offline donation feature, both contributions can be attributed to the event and logged under the correct contact—helping your organization maintain accurate donor histories and campaign totals.
