Manage and fulfill pledges with invoices when donors or sponsors prefer to pay later.

Goodworld’s Invoices feature makes it easy to manage and fulfill pledges when a donor or sponsor prefers to pay later rather than completing their payment immediately online.

Invoices work alongside Bill Me pledges and sponsorship pledges, giving organizations a simple way to track what has been pledged, what has been paid, and what remains outstanding — while giving donors and sponsors a clear, professional way to complete their payment on their own schedule.

What are Invoices?

An invoice is a payment request associated with a pledge in Goodworld.

Instead of requiring someone to pay immediately at the time they make their commitment, Goodworld allows eligible donors or sponsors to make a BillMe pledge and receive an invoice for all or part of the pledged amount.

Invoices can then be fulfilled:

  • Online through Goodworld using the payment call-to-action included with the invoice

  • Offline, such as by check or another payment method recorded by your organization

  • Through installment payments, when a payment plan is enabled

As payments are received, Goodworld helps your team track the fulfillment of the original pledge and any remaining balance.

Common uses for Invoices

Invoices are particularly helpful for larger or more flexible commitments where immediate online payment may not be the preferred option.

Sponsorship pledges

A business or individual sponsoring an event may want to commit to a sponsorship without paying by credit card at checkout.

For example, a sponsor may select a $5,000 sponsorship, submit their commitment, and receive an invoice that can be routed through their organization’s normal accounts payable process.

Workplace giving

An employee may want to make a workplace giving pledge without using payroll deduction.

For example, an employee could pledge $1,200 to a workplace campaign using the BillMe payment method and receive an invoice to pay separately.

Depending on your organization’s configuration, the pledge may be paid in full or divided into installments.

How Bill Me pledges and Invoices work together

A Bill Me pledge records the donor or sponsor’s commitment to give, while the associated invoice or invoices are used to collect and track payment against that commitment.

This allows your organization to distinguish between:

  • The total amount pledged

  • The amount that has already been fulfilled

  • Any outstanding balance still owed

A single pledge may also be fulfilled through more than one payment when installment payments are used.

For example, a donor who makes a $1,200 BillMe pledge could receive invoices that allow the commitment to be fulfilled over several payments rather than all at once.

Finding Bill Me pledges

Admins can find Bill Me pledges from the Transactions tab of Goodworld.

  1. Navigate to Transactions.

  2. Filter your transactions by the Bill Me payment method.

  3. Locate the pledge you would like to review.

  4. Click into the transaction to view its pledge details and any invoices already associated with it.

If an invoice has already been created, you will be able to see the associated invoice and its current payment status from the pledge details.

Creating an Invoice

Depending on your organization’s configuration, invoices may be generated automatically or created manually by an admin.

To manually create an invoice:

  1. Navigate to Transactions.

  2. Find the relevant Bill Me or sponsorship pledge.

  3. Select the Actions menu to the right of the transaction.

  4. Click Create Invoice.

The Create Invoice option appears when an invoice has not yet been generated for that pledge.

When creating the invoice, admins can configure details including:

  • Invoice amount

  • Due date

  • Whether a one-time payment is allowed

  • Available installment frequencies, such as:

    • Weekly

    • Monthly

    • Quarterly

These settings give organizations flexibility in determining how and when a pledge can be fulfilled.

Offering payment plans

For pledges that do not need to be paid all at once, invoices can support installment payment options.

When creating an invoice, admins can establish which payment frequencies are available to the payer. Depending on your configuration, these may include weekly, monthly, or quarterly installments.

This can be particularly useful for larger workplace gifts or sponsorship commitments where the donor or sponsor wants to spread payments over time.

What the donor or sponsor receives

When an invoice is issued, the payer can receive a branded invoice experience by email.

The invoice communication can include a clear call to action prompting the recipient to make a payment online.

Organizations can customize elements of the invoice experience, including the look and feel of the emailed invoice and the associated invoice PDF, helping the payment request remain consistent with the organization’s brand.

Managing Invoice status

Goodworld gives admins visibility into the status of invoices associated with their pledges.

This can include whether an invoice has been:

  • Issued

  • Paid

  • Unpaid

  • Voided

Tracking invoice status alongside the original pledge gives your team a clearer picture of expected revenue and outstanding balances.

Voiding an Invoice

If an invoice is no longer needed or was created in error, it can be voided.

Voiding an invoice allows your team to maintain an accurate record of the original pledge while ensuring that an outdated or incorrect payment request is no longer treated as active.

Tracking pledge fulfillment

One of the primary benefits of Invoices is the ability to manage the complete lifecycle of a pledge.

Instead of treating a pledge and its eventual payment as unrelated records, Goodworld connects the two so your organization can track:

  • How much was originally pledged

  • How much has been invoiced

  • How much has been paid

  • How much remains outstanding

  • Whether fulfillment occurred online or through an offline payment

This is especially useful for sponsorships, workplace giving, and other programs where a commitment may be made well before the funds are actually received.

Invoices vs. immediate online payments

Invoices are best suited for situations where a donor or sponsor wants to make a commitment now and pay later.

If someone is ready to complete their donation immediately using an available online payment method, they generally do not need to use BillMe or receive an invoice.

Invoices provide an alternative when the payer needs additional flexibility, including:

  • Paying at a later date

  • Paying by check or another offline method

  • Routing payment through an organization’s accounts payable process

  • Fulfilling a larger pledge in installments
