Moves Management helps your organization manage prospective donors through a structured fundraising process.
Using a visual pipeline, your development team can:
Organize prospects by fundraising stage
Assign prospects to individual development officers
Record estimated ask amounts and target close dates
Schedule the next action your team should take
Track progress and stage changes over time
View Moves Management activity from an individual contact’s profile
Moves Management is part of Goodworld’s CRM Plus functionality and can be customized to reflect your organization’s existing major gifts or donor cultivation process.
Set up user permissions
Platform Admins automatically have access to Moves Management. Other team members must have the appropriate permissions through their assigned role.
This allows your organization to give development officers access to their own prospects without necessarily giving them access to every prospect or pipeline in the platform.
To review or update a role:
Go to Settings.
Select Roles.
Open an existing role or create a new custom role.
Locate the Moves Management permissions.
Select the actions users with that role should be allowed to perform.
Save your changes.
Permissions can control whether someone can:
Create or view pipelines
View all prospects or only prospects assigned to them
Add and manage prospects
Assign development officers
Move prospects between stages
Create, complete, or cancel next moves
A common setup is to create a Development or Advancement role for members of your fundraising team.
Limit access to assigned prospects
For development officers who should only work with their own portfolio, assign permissions that allow them to view pipelines containing prospects assigned to them.
These users will only see the pipelines and prospects relevant to their assignments.
Create a pipeline
A pipeline represents a fundraising workflow, such as a major gifts pipeline, corporate partnerships pipeline, or planned giving pipeline.
To create a pipeline:
Go to Contacts.
Select Moves.
Click Create Pipeline.
Enter a name for the pipeline.
Add the stages that prospects will move through.
Arrange the stages in the order that best reflects your process.
Select the roles that should have access to the pipeline.
Click Create or Save.
You can create as many stages as your organization needs.
A common major gifts pipeline may include:
Identification
Qualification
Cultivation
Solicitation
Stewardship
These labels are fully customizable. Your stages do not need to follow a predefined fundraising model.
You may also select a color for each stage. The selected color will appear on prospect cards and make pipeline stages easier to distinguish.
Pipeline access and permissions
Selecting a role while creating a pipeline makes users with that role eligible to participate in the pipeline.
However, the role must also have the appropriate Moves Management permissions. Adding a role to a pipeline does not override its existing permissions.
Platform Admins can access all pipelines by default.
View your pipeline
Each pipeline displays prospects in a visual board organized by stage.
From the pipeline, you can:
Drag prospects from one stage to another
Search for prospects by name or email address
Filter prospects by assigned officer
Review upcoming or overdue moves
Open a prospect’s details
Add new prospects
The summary at the top of the Moves Management workspace provides an overview of your fundraising pipeline.
Depending on your access, you may see information such as:
The total value of active prospects
The value of prospects with target close dates during the current year
The number of prospects being tracked
The number of upcoming or overdue moves
Users who are limited to their own prospects will see information related to their assigned portfolio.
Add a prospect
Prospects are created from contacts that already exist in your Goodworld CRM.
To add a prospect:
Open the appropriate pipeline.
Click Add Prospect.
Search for and select a contact.
Choose the stage where the prospect should begin.
Assign a development officer, if applicable.
Add the prospect’s fundraising details.
Optionally create the first next move.
Click Add Prospect.
A contact can only be added as a prospect once within the same Moves Management workflow. If the contact is already being tracked, Goodworld will notify you.
You can add a prospect without assigning an officer or scheduling a move. This is helpful when you are initially importing or organizing a donor portfolio and do not yet have all the necessary information.
Add prospect details
When creating or managing a prospect, you can record additional information to help your development team evaluate and prioritize the opportunity.
Assigned officer
The assigned officer is the individual team member responsible for managing the relationship.
Only users whose roles are eligible for the pipeline will appear as available officers.
Depending on their permissions, team members may be able to:
Assign themselves
Assign another officer
Reassign a prospect to a different officer
Capacity
Capacity provides a general indication of the prospect’s potential giving ability.
Select the capacity level that best reflects your organization’s assessment of the prospect.
Ask amount
The ask amount is the estimated amount your organization plans to request from the prospect. Ask amounts contribute to the total value displayed in your pipeline summary.
Goal close date
The goal close date is the date by which your organization hopes to secure the gift.
Prospects with a close date during the current year contribute to the annual pipeline value shown in the Moves Management summary. These details are intended to support planning and forecasting. They do not create a donation or financial transaction.
Move a prospect to another stage
As your relationship with a prospect progresses, move them through the pipeline.
To update a prospect’s stage:
Locate the prospect in the pipeline.
Drag the prospect card into the appropriate stage.
Review the selected stage.
Add an optional note explaining the change.
Add a next move, if applicable.
Confirm the transition.
The prospect’s transition history records:
The previous stage
The new stage
The user who made the change
The date of the change
Any note added during the transition
This creates a clear record of how the prospect has progressed through your fundraising process.
You can also update the stage from the prospect details panel or from the contact’s Moves tab.
Create a next move
A move is the next action your organization plans to take with a prospect.
Examples of moves include:
Call
Email
Meeting
Send information
Follow up
Other
To add a move:
Open the prospect’s details.
Find the Next Move section.
Click Add Move.
Select the type of action.
Enter a title describing the move.
Select the appropriate date.
Add any additional notes or context.
Save the move.
You can also create a move while transitioning a prospect into a different stage. The upcoming move will appear on the prospect card so your team can quickly see what should happen next.
Complete or cancel a move
Once the action has been taken, open the prospect’s details and locate the move.
Select:
Mark as complete when the action has been completed
Cancel when the action is no longer needed
Completing or canceling a move removes it as the prospect’s active next move while preserving the activity in the prospect’s history. You can then create another move to continue managing the relationship.
Review a prospect’s history
Click a prospect card to open the prospect details panel.
The panel includes:
Basic contact information
Current pipeline stage
Assigned officer
Capacity
Ask amount
Goal close date
Current and previous moves
Stage transition history
Notes recorded during transitions
Use this history to understand previous activity before reaching out to a prospect or transferring the relationship to another team member.
View Moves Management from a contact profile
Moves Management information is also available from the individual contact record.
To view it:
Go to Contacts.
Open the contact’s profile.
Select the Moves tab.
From the contact profile, you can review:
The pipeline containing the contact
The contact’s current stage
Assigned officer
Prospect details
Upcoming moves
Previous activity
You may also update the contact’s pipeline stage from this view, depending on your permissions.
This keeps fundraising activity connected to the contact’s broader CRM record, including donations, registrations, notes, volunteer activity, and other engagement data.
Filter by assigned officer
Platform Admins and users with access to multiple portfolios can filter the pipeline by officer.
To filter the board:
Open the pipeline.
Select the Assigned Officer filter.
Choose the officer you want to review.
Only prospects assigned to that officer will appear.
This is useful for:
Reviewing an individual officer’s portfolio
Preparing for development meetings
Identifying prospects without a scheduled next move
Reviewing upcoming or overdue activities
Balancing portfolios across the development team
Users who only have permission to view their own prospects will automatically see their assigned portfolio.
Archive a pipeline
Pipelines that are no longer active can be archived.
Archiving a pipeline:
Removes it from the active Moves Management workspace
Hides its prospects from active pipeline views
Excludes its values from active pipeline summaries and metrics
Archived pipelines can be restored if they were archived accidentally or need to be used again.
Before archiving a pipeline, confirm that your organization no longer needs it for active prospect management.
Moves Management best practices
Build stages around your actual workflow
Use stage names that your development team already understands. A simple pipeline that reflects your real process is often more useful than a complex pipeline with too many stages.
Always identify the next move
The most useful prospect records clearly answer one question: What should happen next? Whenever possible, give each active prospect a dated next move.
Add context when changing stages
Use transition notes to explain why a prospect advanced, remained in place, or moved backward in the pipeline. This context is especially helpful when multiple team members are working with the same prospect.
Review overdue moves regularly
Use Moves Management during development meetings to identify overdue follow-ups and determine which prospects need attention.
Keep ask amounts and target dates current
Update estimated ask amounts and close dates as you learn more about the prospect. Accurate details make pipeline summaries more useful for forecasting.
Use permissions to protect sensitive information
Major gift portfolios may contain sensitive relationship and financial information. Limit users to only the pipelines and prospects they need to manage.
Frequently asked questions
Can a prospect be added without an assigned officer?
Yes. You can add a prospect without assigning an officer and assign one later.
Can I add a prospect directly to a later stage?
Yes. When adding a prospect, select any stage in the pipeline as the initial stage.
This is helpful when transferring an existing fundraising portfolio into Goodworld.
Can users see every prospect in the pipeline?
That depends on their role permissions. Platform Admins can view all prospects. Other users can be limited to prospects assigned to them.
Does an ask amount create a donation?
No. The ask amount is used for planning and pipeline forecasting only. It does not create a donation, pledge, or transaction.
What happens when I complete a move?
The move is no longer displayed as the active next move. Its status and activity remain available in the prospect’s history.
Can I create more than one pipeline?
Yes. You can create separate pipelines for different fundraising initiatives, donor groups, teams, or workflows.
Can I restore an archived pipeline?
Yes. Archived pipelines can be unarchived and returned to the active Moves Management workspace.
Why can’t a team member see the Moves section?
Confirm that:
Moves Management is enabled for the organization
The user has been invited to the platform
The user’s role has the appropriate Moves Management permissions
The user has access to the pipeline or has at least one prospect assigned within it
