Goodworld’s Custom Payroll Frequencies feature allows organizations to tailor the payroll giving journey to each employee by assigning individualized pay period tags (e.g., 24, 26, 12 pay periods). When paired with the Rules Engine, admins can ensure that employees only see the payroll frequency that applies to them—making pledge selection intuitive, accurate, and personalized.

This feature is ideal for companies with multiple employee pay cycles and is essential for ensuring correct payroll deduction calculations in workplace giving campaigns.

Why Custom Payroll Frequencies Matter

Organizations often have employees paid on different schedules—biweekly, semimonthly, monthly, weekly, etc. Without personalization:

  • Employees may choose the wrong frequency

  • Pledge amounts may be calculated incorrectly

  • Donor confusion increases

  • More support tickets are generated

By assigning each employee a pay period tag and using rules to hide irrelevant options, admins create a smooth, accurate payroll giving experience.

Key Features

Map Pay Periods to Employees

Import pay period information as Group Tags so each employee has a designated pay period:

  • Pay Periods: 26 (biweekly)

  • Pay Periods: 24 (semi-monthly)

  • Pay Periods: 12 (monthly)

Personalized Frequency Selection

During the pledge step, employees only see payroll frequencies that match their tagged pay period.

Rules Engine Automation

Admins can set rules that automatically hide payroll frequencies that do not apply to each employee.

No Duplicates

The import system recognizes existing email addresses, updating employees rather than creating new contacts.

Setting up custom payroll frequencies

Step 1: Import employee pay period data

  1. Navigate to Companies → Select Company → Team Tab.

  2. Click Actions → Import CSV.

  3. Match by Email to ensure each employee record is updated, not duplicated.

  4. Upload your CSV containing pay period data.

  5. In the mapping screen:

    • Locate your Pay Periods column

    • Click Map to Group

    • Select an existing group named Pay Periods or create a new one

Each row (employee) will receive a tag such as:

  • Pay Periods: 26

  • Pay Periods: 24

This prepares the system to personalize the donation experience.

Step 2: Set Available Payroll Frequencies in the Campaign

  1. Open the relevant Campaign.

  2. Go to the Pledge Step.

  3. Review all available payroll frequencies (e.g., 26, 24, 12, 52, etc.).

  4. Remove any frequencies your organization never uses by clicking the trash icon.

    • Most organizations keep only the frequencies included in their roster (e.g., 24 + 26).

This narrows the selection down to only relevant choices.

Step 3: Use the Rules Engine to Personalize Payroll Frequencies

Once the pay period tags are attached to employees, admins can use the Rules Engine to selectively hide payroll frequencies so each employee sees only their correct option.

Example Setup

Your workforce includes employees who are paid:

  • 26 pay periods (biweekly)

  • 24 pay periods (semi-monthly)

Steps to Create Rules

  1. Go to Campaign Settings → Rules Engine.

  2. Click Create New Rule.

  3. Under the rule dropdown, select Hide Payroll Frequency.

Rule 1

  • Hide payroll frequency: 26

  • If user is tagged with: Pay Periods: 24

Rule 2

  • Hide payroll frequency: 24

  • If user is tagged with: Pay Periods: 26

Repeat similar rules for any other pay period types (e.g., 12, 52).

Result

Each employee sees only the payroll frequency that applies to them—nothing extra, nothing confusing.

Use Case: Personalized payroll giving at a health system

A health system has employees paid on two schedules:

  • Biweekly (26)

  • Semi-monthly (24)

After importing the roster with pay period tags and configuring rules:

  • Employees tagged with Pay Periods: 26 only see the biweekly option

  • Employees tagged with Pay Periods: 24 only see the semi-monthly option

This ensures accurate pledge calculations and a clearer experience for thousands of employees participating in workplace giving.
