Goodworld’s Contact Notes feature allows administrators to log and share important insights about donor and stakeholder relationships. Whether it’s a note from a conversation, donation context, or relationship details shared by a volunteer or board member, these internal notes ensure your team stays aligned and informed.

Adding Contact Notes

There are two ways to add a note in the system:

1. General Notes

To add a general note to a contact’s profile, click the Internal Note button on the contact’s page. This note is saved to the contact’s timeline and is visible to other administrators. Use general notes to log updates from meetings, calls, emails, or personal insights about a donor or stakeholder. These notes become a centralized record that helps maintain relationship continuity across your team.

2. Activity-Specific Notes

You can also add notes to specific transactions or activities—such as donations, volunteering, or event participation. These notes are tied directly to the corresponding action and can be accessed by clicking into the transaction from the Donations tab or viewing the entry within the All Activity feed. Activity-specific notes are helpful for documenting context around a donation (e.g., made in honor of someone, in response to a campaign, or following a conversation).

Viewing and Filtering Notes

Visit the Activity section to see a full feed of all logged actions and notes. Use filters like All Activity or Everyone to narrow down the feed based on user or activity type. This makes it easy to find relevant updates, see who last interacted with a contact, and access insights without digging through emails or spreadsheets.

Relationship Management

Contact Notes help development staff, fundraisers, and administrators keep track of the history and context behind each donor or stakeholder relationship. Notes can capture everything from giving preferences to personal anecdotes that help personalize outreach. This shared record ensures consistency in communications and allows any team member to pick up a conversation where another left off—critical for long-term stewardship and donor retention.

Board or Volunteer Insights

Board members, volunteers, and ambassadors often have personal relationships with donors, sponsors, or community stakeholders. They may learn valuable information during conversations or events that isn’t captured elsewhere in your system. Contact Notes provide a structured way to log and preserve those insights—so they don’t get lost or forgotten—and allow your broader team to benefit from relationship details that strengthen future outreach.

Sponsor Tracking

Managing corporate sponsor relationships often involves multiple touchpoints across departments and team members. Contact Notes offer a clear way to document interactions, commitments, and follow-ups—whether it’s logging a meeting with a company representative or noting a verbal pledge to sponsor an upcoming event. These records ensure your team can coordinate effectively, follow through on promised deliverables, and build stronger long-term partnerships.

Donation History Commentary

Sometimes, the “why” behind a donation is just as important as the amount. Contact Notes allow admins to record meaningful context about donations, such as emotional motivations, campaign responses, or life events that prompted the gift. These details help inform personalized thank-yous, appropriate follow-up strategies, and future appeals. For example, if a donor gave in memory of a loved one, that note ensures your team honors that sentiment in future communication.
